About the Opportunity Working in Patrick’s East Swanson Dock Terminal, the Accounts & Business Support Coordinator assists the terminal departments by providing administrative support to the leadership team and the management of staff queries. This position is best suited to someone with a diverse skillset, who is enthusiastic about supporting a team and ensuring that day-to-day administrative activities run smoothly. Key responsibilities include, but are not limited to: Provide administrative assistance to the Terminal Manager on a number of projects as well as assisting the terminal leadership with ad-hoc administration and projects. Provide in depth data analysis and audits utilising excel and AI tools. Manage and report on the KPI’s for the rail services; manage rail windows and respond to all ad hoc requests for services; develop and maintain accurate forecasts with rail shippers representative of commodity volume peaks. Manage data uploads of Rail consists and verify for errors. Monitor access agreements, ensuring the clients adhere to the requirements within. Perform tasks such as data entry, accounts payable management – including supplier management and approvals, invoice processing including rail, and reimbursement of expense claims. Efficiently manage the ordering and inventory of stationery and office supplies Assist with coordinating community event initiatives, including organising donation drives, and supporting the implementation of well-being programs. Facilitate operational and maintenance support by stocking supplies and overseeing office activities. Assist with coordination of staff and client functions. Source material for and develop regular terminal newsletter. Manage industry memberships and subscriptions. Draft and distribute employee communications. Comply with Safety Policy and procedures and Safety Management Standards and demonstrate safe working behaviour & practices. About Your Experience and Skills To be considered for this opportunity you should have the following: Tertiary qualification in a relevant discipline or equivalent proven experience as an Administrative Officer, Administrator or similar Solid knowledge of office procedures including advanced knowledge of MS Office – particularly in Excel, Word and Mailmerge Strong aptitude for software and internal systems Exceptional organisational skills with a problem solving attitude Excellent written and verbal communication skills High attention to detail While this role is advertised as full-time, Patrick is open to exploring flexible working arrangements.
