Are you ready to add your unique flavor to our journey? Brief Description Barilla Poland is looking for an Office Administrator to join our team in Warsaw. Key Accountabilities Lead administrative activities to ensure efficient office operations. Manage the office budget, maintain records, process the invoices and monitor expenditures, contracts and agreements. Build and manage effective relationships with our external suppliers for the office operations. Coordinate email correspondence, maintain correspondence records and handle incoming calls. Support the Managing Director Poland with various administrative tasks as needed. Support the HR department of the Eastern Europe with local activities as instructed, such as: maintaining the employee vacation and sick leave records, supporting with the onboarding process of the newcomers, preparing and providing the required equipment. Support the Marketing Manager by coordinating with media and creative agencies for global asset adaptations and seamless delivery of TV and digital campaign materials. Manage consumer contacts and complaints, oversee packaging changes and maintain the branded website with updates and content preparation. Coordinate the Health & Safety (H&S) activities (trainings and documentation), the medical care and group insurance programs. Organize and facilitate corporate meetings and employee-related events, negotiating terms with vendors. Qualifications Bachelor’s Degree in Business Administration, or relevant field Previous experience in office management, administration or a similar role, ideally within a multinational environment would be considered a plus. Excellent knowledge of MS Office (Excel-advanced). Proactive and solution-oriented mindset, with attention to detail. Exceptional organizational skills, with the ability to prioritize effectively. Strong communication and interpersonal skills, both written and verbal. Fluency in Polish and English language. The role is based in our Warsaw office, Poland. We offer hybrid working as a mix of working remotely and from the office. It will be a temporary contract until March 2027, with the possibility of extension. Please submit your resume in English.
