Purpose of the job The Coordinator: Digital & Multimedia plays a pivotal role in orchestrating digital projects, managing communication flow between the department and the rest of the business, and ensuring the flawless execution of digital and multimedia deliverables. This position is essential for the timely and high-quality development, production and distribution of communication assets across all digital touchpoints. The coordinator guarantees adherence to Service Level Agreements (SLAs) and maintains rigorous quality assurance for all digital assets. Additionally, the coordinator provides ongoing support for intranet management, driving efficient project execution across multiple channels. Furthermore, the coordinator is responsible for processing purchase orders and invoices, ensuring precise and prompt financial transactions related to digital and multimedia projects. The coordinator also ensures that projects are delivered according to SLAs from the IMC ticketing system, maintaining efficient and effective workflow management. Key/main outputs: Output 1: Digital Project Coordination Manage and coordinate collaborate with the Digital Lead to implement the Customer Experience (CeX) strategy to ensure that the Digital team delivers on the full lifecycle of digital projects, encompassing planning, execution, delivery, and reporting. Ensure all projects align with the organizations digital strategy and contribute to enhancing customer experience. Liaise with internal stakeholders (Digital Experience & Multimedia Manager Collaborate with the Corporate Affairs, Experiential Marketing Integrated Marketing Communication and Member support teams) to define project requirements, timelines, and resources. Foster collaboration to ensure customer-centric solutions. Develop and maintain detailed project schedules and work with cross-functional teams to ensure deadlines are met. Prioritize tasks that directly impact customer satisfaction and engagement. Track the progress of all ongoing digital projects and provide regular updates to stakeholders on project status, risks, and challenges. Implement feedback loops to continuously improve customer experience. Output 2: Traffic Management & Workflow Optimisation Oversee the traffic management process, ensuring that all digital and multimedia content is reviewed, approved, and distributed in a timely and efficient manner across various platforms, including the website, intranet, social media, email, publications, reports, and magazines. Prioritise and assign tasks to the digital team and external partners, ensuring smooth workflows, proper allocation of resources, and the timely completion of tasks. Identify and resolve any bottlenecks in the content creation or approval process, ensuring a seamless flow of tasks. Ensure that content is prepared, optimised, and ready for distribution across all required platforms (website, intranet, social media, email, publications, reports, and magazines, marketing campaigns and events). Track and report on the progress of digital projects, ensuring performance metrics are captured, including timelines, cost, and quality metrics. Identify areas for improvement in digital project workflows and traffic management processes and implement changes to improve efficiency and productivity. Proactively identify emerging trends and best practices in digital project coordination, and integrate those insights into the workflow for continuous improvement. Output 3: Service Level Agreement (SLA) Adherence & Quality Assurance Monitor adherence to SLAs for digital and multimedia projects, ensuring that all deliverables meet deadlines and quality standards, while strictly adhering to the company's corporate identity and approved creative concepts. Conduct thorough quality assurance checks on digital content (images, videos, articles, etc.) prior to publication, ensuring all materials comply with the companys branding, content guidelines, accessibility standards, and approved creative concepts. Ensure that digital and multimedia projects meet both internal and external stakeholder expectations regarding quality, style, format, and user experience, while maintaining consistency with the corporate identity and approved creative concepts. Output 4: Intranet Support Provide ongoing support for the company's intranet, ensuring content is regularly updated, relevant, and accessible to employees. Coordinate the development and publication of intranet materials, ensuring timely delivery and appropriate formatting for user-friendly access. Collaborate with multimedia content developers and internal stakeholders to ensure the intranet functions smoothly, addressing any technical issues or content errors that arise. Output 5: Monthly Magazine Development & Distribution Lead Magazine Development: Spearhead the creation of the company's monthly magazine by coordinating content creation, design, and approval processes. Ensure seamless integration of articles, graphics, and multimedia elements. Collaborative Production: Foster strong collaboration with designers, and external contributors to produce a high-quality, engaging magazine. Maintain open communication channels to facilitate feedback and revisions. Distribution Management: Oversee the distribution of the monthly magazine, ensuring it reaches all intended recipients through appropriate digital channels (intranet, email, etc.) in a timely manner. Design Production Schedule Management: Develop and manage detailed design production schedules to ensure timely completion of all design-related tasks. Monitor progress, identify potential bottlenecks, and implement solutions to keep the project on track. Coordinate with the design team to balance workloads and meet deadlines efficiently. Output 6: Self-Development & Management Work with the Digital & Multimedia Lead to set a clear and inspiring/ galvanising North Star for the department underpinned by the CeX North Star Work with the Digital & Multimedia Manager to set and agree on clear performance expectations and impact measures, intentionally monitor own performance, and regularly/ timeously engage with the Experiential Manager and other CeX Leads for meaningful feedback that helps you deliver against the North Star Commit to continuous personal and professional growth by developing and executing a personal development plan. This includes upskilling in industry trends, campaign management, reporting, and business strategy to enhance both individual expertise and the overall effectiveness of segment initiatives Develop a fit-for-purpose and meaningful professional development plan (prioritising skills aligned to IDO) and commit/ take accountability for its ruthless implementation Actively and meaningfully contribute to creating an authentically collaboration and innovation - centric - culture and proactively address any hinderances to delivery/ performance, including meaningful conflict resolution management (with juniors, peers and seniors alike) Serve as a proactive, knowledgeable, engaged 2IC to the Digital Experience Manager, ensuring seamless business continuity Champion MIPART and promptly remediate any non-adherence to the values Output 7: Embrace and Drive Organisational Transformation Actively contribute to cost containment efforts by identifying opportunities for operational efficiencies, optimising resources, and ensuring value-driven decision-making in daily activities. Identify and support SAICAs management of risks related to sustainability, including environmental risks, regulatory changes and social risks and integrating them into business continuity and risk management plans. Formal Education Diploma level qualification in Project management Digital Media, Media production, Marketing, or a related field. Technical/Legal Certification Knowledge and understanding of: Project Management: Strong organizational and timemanagement skills with a proven ability to manage multiple projects simultaneously, ensuring timely delivery and quality control. Attention to Detail: Exceptional attention to detail to ensure that all content and digital materials meet quality standards and adhere to the companys brand guidelines. Digital & Multimedia Production Knowledge: Understanding of digital and multimedia content formats (e.g., Adobe Indesign. Photoshop, video, infographics, digital publications) and how to manage their production and distribution effectively. Desk Top Publishing, Design and Marketing knowledge is advantageous Experience Minimum of 3 years experience in digital project coordination, multimedia content management, or traffic management, with a strong focus on delivering high-quality multimedia and digital content within specified timelines. Proven experience in coordinating and managing crossfunctional teams, external vendors, and stakeholders in a digital or multimedia environment. Experience with content management systems (CMS), intranet platforms, and digital marketing tools. Knowledge and Skills Business Acumen - Knowledge and understanding of the principles of business, the application thereof, the opportunities within business and the seizure of such opportunities Financial Knowledge - Knowledge and understanding of financial practices and standards prescribed by regulation authorities Performance management - Understanding performance management policies and procedures HR policy and procedures - Understanding HR policies and procedures to support people management processes Information Technology - Understanding of ICT prescribed practices and legislative requirements for data security and information management Governance and Compliance - Ability to implement and follow governance and compliance procedures
