Purpose In this role, you will be responsible for supporting the daily operational management of the office facilities, services, administrative logistics, and travel coordination. The ideal candidate will manage office resources, oversee fleet vehicle administration, coordinate with suppliers and travel agencies, and handle internal communications, ensuring smooth operations and a positive work environment for both local teams and the Chinese management. This position is key to maintaining operational continuity, managing suppliers, payments, travel, meeting the needs of our Chinese management, and handling internal communications and newsletters. Tasks: Office Operations and Supplier Management • Manage office infrastructure needs (stationery, supplies, cleaning). • Coordinate services such as parking, access, and office cleaning. • Negotiate, manage, and follow up on contracts with service providers. • Coordinate the payments for general services (rent, parking, cleaning, access, etc.), ensuring timely and accurate processing. • Record and process supplier invoices. • Control and report office operations expenses. Fleet Vehicle Management • Administer the company's vehicles: control plates, insurance, inspections, and documentation. • Coordinate maintenance, insurance renewals, and other vehicle-related tasks. • Control monthly fleet vehicle expenses. Travel Agency Management • Coordinate flight, hotel, transport, and travel service reservations with the assigned travel agency. • Manage travel authorizations, quotes, itineraries, and last-minute changes. • Control and follow up on billing and payments related to travel. • Assist employees and Chinese management with business travel planning and logistics. Support to Chinese Management • Provide administrative and operational support for the needs of the Chinese management team. • Coordinate logistics, appointments, and special projects for executive teams. • Assist with translations or facilitate communications when required. Internal Communication • Prepare and design internal communications, notices, and announcements. • Prepare and distribute monthly newsletters and office updates. • Assist Human Resources and Management with internal campaigns and content creation. Expected Outcomes: • Timely payments of suppliers, rent, and travel invoices, with updated expense control. • Vehicle documentation up to date, with proper inspections. • Effective coordination of office services, facilities, and travel arrangements. • Clear, timely, and well-written internal communications and newsletters. • Accurate administrative, logistical, and travel support for Chinese management and departments. Responsibility Level: • Maintain operational continuity of office services, resources, and logistics. • Ensure proper control of fleet vehicles and corporate travel. • Provide professional and timely support in all administrative, communication, and travel tasks. • Manage relationships with suppliers and travel agencies, focusing on quality, costs, and deadlines. Experience / Education: Bachelor's degree (or equivalent) in Administration, Communication, or a related field. At least 2 years of experience in office administration, general affairs, travel, or similar administrative roles (intern) Proficiency in software and office tools (Excel, PowerPoint, Word).
