Job Description

Location: EST Working hours: Full Time Salary: 800 -1000 Overview We’re hiring a proactive, tech-savvy Virtual Assistant to be the glue that keeps our team running smoothly! You’ll free up the founders and bookkeeping team to focus on clients by managing notifications, chasing documents, and keeping projects moving in Financial Cents (our PM tool). An accounting/finance background is a strong plus, and there’s real room to grow — whether into Executive Assistant responsibilities or even bookkeeping if that’s your interest. Responsibilities Inbox & PM triage: Review daily notifications in Financial Cents, flag what truly needs attention, and create/assign tasks so nothing slips. Client follow-ups: Proactively chase clients for bank statements and other artifacts; keep reminders polite, persistent, and on schedule. Task prioritization: Partner with our bookkeeper (Natalia) to sequence her day (e.g., payroll first), surface blockers, and maintain momentum. Onboarding workflows: Run client onboarding checklists inside Financial Cents—set up tasks, due dates, and ensure steps are followed in order. Light documentation & admin: Keep process notes current, update client folders, capture decisions, and track deadlines. Software support: Be the team’s point person for Financial Cents—create templates, tasks, and recurring workflows as we scale. Calendar & coordination: Schedule internal/client touchpoints; prep agendas and follow-ups as needed. Occasional bookkeeping support (nice-to-have): Jump into QuickBooks for simple tasks if asked (training provided). Tool stack operations: Use Microsoft Teams (comms), Dext (receipt capture), Pluto (payments), QuickBooks, and other modern SaaS tools. AI curiosity: Experiment with ChatGPT to draft messages, checklists, and SOP snippets; share weekly ideas for efficiency. Main Qualifications Bias to action & ownership: You notice what’s needed, speak up, and handle it—without hand-holding. 1–2 years in an administrative/VA/operations role (experience in accounting firms or finance environments is a strong plus). Accounting/finance background (education and hands-on experience). QuickBooks experience (basic navigation and tasks; deeper bookkeeping knowledge is a plus). Project & task management chops: Comfortable running checklists, recurring workflows, and due dates (Financial Cents or similar PM tools). Client communication: Clear, concise, and friendly follow-ups that get documents in on time. Tech fluent: Quick learner with modern SaaS; experience with Dext, Pluto, Teams, or similar tools is a plus. Structured & detail-oriented: You love clean lists, clear priorities, and closing loops. Discretion & reliability: Handle sensitive financial info with confidentiality and care. Growth mindset: Interest in expanding into Executive Assistant duties or bookkeeping over time.
