Objective: Support both the operational and administrative areas of the IT department. This role combines day-to-day IT coordination and execution responsibilities with key administrative activities such as contract management, budget monitoring, vendor follow-up, and governance reporting. Serves as a key support to the IT Sr. Manager, ensuring alignment between IT execution and strategic oversight, while also collaborating with global stakeholders and local vendors to maintain smooth and compliant operations. Day to day (main tasks): Budget & Financial Oversight: • Monitor the IT department’s annual budget, forecasts, accruals, and actuals. • Collaborate with Finance, Controlling and Procurement to ensure financial alignment and regulatory compliance. • Track deviations and provide early warnings and insights for corrective actions. Contract & Vendor Management: • Oversee contract lifecycle for both global internal partners and local external vendors. • Ensure timely processing of purchase orders, invoice payments, and contract renewals. • Maintain a centralized repository and ensure contractual compliance with legal and corporate standards. Reporting, Dashboards & CIO Support • Prepare recurring reports, dashboards, and executive summaries on IT operations, projects, and risks. • Support CIO with decision-making material and high-level presentations for internal and external stakeholders. Operational IT Coordination • Serve as a bridge between the IT team and business units for requirement gathering, issue escalation, and resolution tracking. • Support the implementation and monitoring of internal tools and systems. • Assist with IT service delivery coordination and performance tracking. Strategic & Administrative Support to IT Sr. Manager • Coordinate strategic initiatives and process improvement efforts across IT. • Consolidate updates and insights from key stakeholders for senior leadership review. • Handle sensitive or confidential topics with discretion and professionalism. IT Project Support • Collaborate with IT teams in project planning, documentation, testing, and deployment. • Ensure alignment with global standards, timelines, and deliverables. • Track project milestones and identify potential delays or risks. Process Governance & Compliance • Ensure adherence to internal approval processes, documentation controls, and audit readiness. • Support internal and external audits with accurate and timely information. • Promote standardization and continuous improvement in operational procedures. Tools & Systems Administration • Support the maintenance, access control, and basic troubleshooting of internal IT platforms (e.g., ServiceNow, SAP, internal approval tools). • Coordinate with technical teams to resolve system issues and improve usability. Profile: Education: Bachelor’s degree in Business Administration, Finance, Information Technology, or a related field. Previous experience: Experience in IT operations, budget/financial planning, or vendor management within a multinational environment Languages : Advanced English · Location: CDMX (Santa Fe) · Local contract applies. · Relocation assistance will not be provided for this position.
