Job Summary The Operations Coordinator is responsible for supporting the daily logistics and administrative operations of the branch. This entry-level role offers the opportunity to develop skills in import/export coordination, shipping/receiving, and compliance while working in a fast-paced, secure, and client-facing environment. The Coordinator will collaborate closely with cross-functional teams, ensure accurate data handling, and maintain excellent customer service standards. Key Responsibilities Assist with shipping and receiving procedures, documentation, and recordkeeping. Support import/export processes by helping prepare documentation and communicating with internal teams. Track shipments and maintain status updates across departments and systems. Interface with clients and internal stakeholders to provide timely and professional updates. Ensure accurate data entry and help maintain company records. Uphold compliance with industry regulations and company policies, including TSA and customs-related guidelines. Collaborate with other departments such as Customer Service, Dispatch, Security, and Warehouse to support end-to-end operations. Respond to emails, phone calls, and requests for operational support. Perform clerical and administrative duties such as filing, scanning, and maintaining operational documents. Support weekend and overtime operational needs when required. QualificationsEducation and Experience: High School Diploma or equivalent required. Minimum of 1 year of experience in logistics, shipping/receiving, or supply chain operations preferred. Exposure to import/export or customs procedures is a plus and can be developed on the job. Knowledge and Skills: Excellent verbal and written communication skills. Strong attention to detail and ability to multitask in a fast-paced environment. Strong customer service orientation and interpersonal skills. Ability to work both independently and in collaboration with cross-functional teams. Familiarity with basic shipping documentation and operational compliance. Bilingual language skills are a plus. Technology and Tools: Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Familiarity with Google Suite (Docs, Sheets, Drive). Experience with database, logistics, or timekeeping software (e.g., ADP) is a plus. Work Environment and Schedule • Office environment; physical presence required (no hybrid/remote work option). • Overtime and weekend work may be required based on operational needs. • High-security and compliance-focused setting.
