Job Description
ABOUT THE ROLE We are seeking a highly organized and proactive Production Coordinator to support our Sourcing & Production team on a 12-month contract. This role is critical in ensuring that all production aligns with planned ex-factory and DC delivery timelines. You will serve as a key liaison between internal teams and external partners, facilitating smooth communication, mitigating delays, and maintaining accurate production tracking. KEY RESPONSIBILITIES Support the Sourcing & Production Manager to ensure production aligns with ex-factory and DC delivery schedules. Organize and lead weekly/biweekly calls with manufacturers to: Track production and factory status Follow up on orders, shipments, and timelines Expedite critical production stages Identify and resolve issues proactively Act as a cross-functional connector between Transportation, Suppliers, Production team. Monitor Time & Action (T&A) calendars and flag at-risk milestones to relevant teams, helping mitigate delays. Collaborate with Product Development and Transportation to prepare and update margin comparison charts when shipping methods change; ensure freight cost changes receive approval. Maintain accuracy in WFX system by updating costs, shipping methods, and ex-factory date changes at the production stage. Attend pre-production (PP) fit sessions and communicate any potential risks to delivery timelines. Request, track, and ensure the timely receipt and review of TOP (Top of Production) samples with the QA Administrator o Technical Design Team. Keep the Production Schedule Report (PSR) updated with ex-factory dates, TOP status, and approval records. Escalate issues to Sourcing & Production Manager and Transportation team as needed. Daily review and update Line Plans in accordance with current production statuses. Arrange and coordinate courier shipments for production materials or samples as required. Participate in team trainings and stay up to date on system and process changes. Attend and track follow-ups from TOP, Marketing, Transportation, Supplier, and Product Development meetings. Advocate for consistent and standardized supplier-facing documentation and file-sharing practices. Maintain a Damage & Defect Tracker and work closely with QA/Tech and suppliers to identify root causes and implement corrective actions. Perform additional duties as assigned to support overall production success. Create quarterly production on time report to shared with cross functional teams. ABOUT YOU You are a detail-oriented, driven, and collaborative individual who thrives in a fast-paced, cross-functional environment. QUALIFICATIONS 5 years of experience in production team preferably in the fashion or retail industry Strong organizational and project management skills with keen attention to detail Excellent communication and relationship-building skills Proficient in MS Excel; experience with WFX or other PLM/ERP systems a plus Ability to manage multiple priorities and meet deadlines under pressure Experience working with local & overseas manufacturers and suppliers.
