Job Description QuIC is looking for an experienced Executive Assistant to join its internal team on a full-time basis. Our team is agile and entrepreneurial, spread across multiple European countries. We thrive in a dynamic environment where no two days are the same—and we're looking for an Executive Assistant who can keep up, stay ahead, and help us grow our impact. You will work closely with the Executive Director to drive key operational initiatives, take charge of QuIC’s core administrative functions, and act as the go-to liaison for the Executive Office—keeping everything running smoothly behind the scenes. We’re looking for someone who can operate with high efficiency under pressure, manage competing priorities, and take initiative with minimal oversight. You will handle a wide variety of tasks, from managing schedules and communications to assisting with operations and executive functions. Your work will directly contribute to QuIC’s central role in the European Quantum Flagship, the European Union’s multi-year intiative to establish a world-leading quantum industrial sector. The Executive Assistant will report directly to the Executive Director of QuIC. Why join QuIC? Key Responsibilities: Liaison officer for QuIC Executive Office : Act as primary liaison between QuIC and external stakeholders, including prospective Members and Affiliates and head offices of partner organisations. Anticipate needs of the QuIC Executive Director and Executive Office, and solve problems before they arise. Operational administration : Manage and maintain internal workflows, administrative data on website, and documentation Liaise with external administrative functions – such as accounting and legal service firms – on behalf of the Executive Director. Executive Support : Provide high-level administrative support to the Executive Director, including calendar management, travel coordination, and email triage. Prepare materials for meetings, take detailed notes, and ensure follow-up on action items Work directly with Executive Director to support all day-to-day tasks. Your Profile: Prior work experience: 3 or more years’ prior experience in supporting a senior executive or team. Prior experience in a start-up or other high-growth environment is a plus. Outstanding organisational and time-management skills. Successfully manage multiple parallel responsibilities. Able to meet deadlines and deliver quality results in a fast-paced environment. Great attention to details: able to succinctly and flawlessly capture essential points in meetings and exchanges, and to avoid errors in documentation, presentations and write-ups. Start-up mindset: enjoys tackling business needs in adjacent disciplines, able to find innovative solutions to a variety of challenges. Strong interpersonal skills and enjoy working in an international environment. Candidates with past international experience preferred. Academic background: university degree. Strong computer skills: proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel); excellent at creating clear and visually attractive slide decks for a variety of audiences. Fluent reading, writing, and speaking skills in English. Business proficiency in another European language, particularly German, is a plus. Citizen or legal resident with work permit of a Member State of the European Union, Liechtenstein, Norway, Switzerland, or the United Kingdom. Position Details: Work will be conducted mostly remotely, from a home / mobile office, using digital tools to connect with QuIC members and external collaborators. The Executive Assistant will also be expected to travel approximately once per quarter to attend organised events and QuIC meetings. Start Date : 1 September 2025 or earlier.
