Job Description
We are searching for a highly skilled Executive Assistant to provide high-level administrative support to executive leadership within a Non-Profit organization. This role requires a proactive problem solver with strong communication and interpersonal skills, capable of handling a variety of operational challenges in a dynamic environment. The ideal candidate will have experience managing multiple priorities, maintaining confidentiality, and demonstrating professionalism in all interactions. Key Responsibilities: Manage and coordinate calendars for 1-2 Executives. Screen incoming calls and emails, responding or redirecting as needed. Arrange travel logistics, including accommodations, transportation, and itineraries. Assist in meeting preparation, including agenda coordination, research, presentation creation, and minute-taking. Prepare and edit correspondence, communications, reports, and presentations. Organize and coordinate departmental meetings and events. Process credit card and travel expense claims for the department. Maintain filing systems (electronic and paper) and ensure proper documentation storage. Act as a liaison between internal departments and external stakeholders as needed. Provide reception support for executive visitors. Handle confidential information with discretion and professionalism. Perform other administrative tasks as assigned by executive leadership. Qualifications & Experience: Diploma or degree in Business Administration or a related field, or an equivalent combination of education and experience. 5-8 years of experience in an Executive Assistant role. Strong professionalism, judgment, and ability to work independently. High level of discretion, tact, and diplomacy in handling sensitive matters. Proficiency in Microsoft Office Suite. Excellent written and verbal communication skills. Experience in a dynamic and evolving work environment. Preferred Qualifications: Experience working within Non-Profit organizations is an asset. Appreciation and respect for cultural diversity. Additional Requirements: Valid driver’s license and access to a personal vehicle. Flexibility to work occasional evenings, weekends, and overtime as needed. Satisfactory criminal record check.
