Indirect Sourcing Operations Coordinator

Job Description

This role is responsible for the ongoing coordination of Indirect Sourcing Operations contract life cycle process, and current third-party due diligence and data privacy risk assessments. This role will also be responsible for updating Ariba contract workspaces and tracking the contract life cycle process and issuing annual risk assessments. They will report monthly on Indirect Sourcing Operations processes using Ariba reports, MS Excel, and MS PowerPoint. They will support the Indirect Sourcing Operations supplier on boarding process when needed. Reports to and works with Senior Manager, Indirect Sourcing Operations. Central point of contact for all agreements between Global Sourcing Manager, Supplier, and Legal. Keep stakeholders informed regarding status of contracts and maintain the contract tracking spreadsheet. Work with Senior Manager to prioritize review of contracts under review with Legal. Update Ariba contract workspaces with current contract documents and terms. Issue and follow-up with supplier contacts and Global Sourcing Manager owners regarding status of data privacy and information security (DPIS) assessments. Invite suppliers and business partners to complete third party risk assessments via email. Track the progress in the Indirect Sourcing tracking spreadsheet and follow-up with recipients to complete assessments in accordance to the set timeline. Create monthly contract life cycle reports and third-party risk assessment report via Ariba reports, MS Excel and MS PowerPoint. Create ad-hoc reports on expiring contracts for each Global Sourcing Manager using Ariba reports and MS Excel. Support Indirect Sourcing Operations supplier on boarding tasks when needed. Contribute to the team effort by accomplishing related results and participating on projects as needed Education/Certifications: High School degree Experience: Practiced in 1 project management 1-3 years of experience supporting objectives, either independently or working with Global Sourcing. 1-3 years of experience with project tracking and reporting Deep knowledge of and experience with working in cross functional teams Demonstrated experience preparing for functional review meetings Experience documenting processes or work instructions Knowledge, Skills, and Abilities: Advanced knowledge of MS Project Expert knowledge of MS Word, Excel and PowerPoint Ability to work independently and influence the organization Must be team oriented and have outstanding verbal and written communication skills, including grammar and proofreading Strong attention to details with an emphasis on organization and prioritization skills are required Basic skills in cross-cultural awareness, influence, and problem resolution Other: Bilingual English and Spanish 10% travel may be required
