KEY RESPONSIBILITIES FLEET MANAGEMENT: Purchase vehicles to expand and/or enhance the fleet with a focus on sustainability; Negotiate car rental and leasing contracts and terms; Manage the company car pool; Schedule regular maintenance on all vehicles; Coordinate driver communications and advice; Manage vehicle licensure and registration; Manage company fuel cards and highway pass (Telepass); Ensure all drivers have proper and valid documentation; Provide reports to management on budgeting, schedules, maintenance, and fleet progress; Develop methods to decrease fleet costs and improve efficiency. TRAVELS: Develop and implement travel policies and procedures aligned with organizational objectives and budgets; Oversee planning and booking of travel arrangements for employees and clients, including flights, accommodations, transportation, and other services; Manage relationships with travel agencies (e.g., UVET) and vendors (hotels, restaurants, etc.), providing reports and action plans related to travel risk management; Negotiate contracts and rates with travel service providers globally; Manage travel insurance policies with brokers; Advise on travel documents, insurance, import/export regulations, ensuring legal compliance; Handle credit card programs and charges in collaboration with the Finance department; Manage company travel software and its integration with HR ERP systems (Zucchetti – ZTravel and ZCarFleet); Monitor travel expenses and ensure policy compliance, identifying cost-saving opportunities; Provide support to stakeholders, addressing travel needs and concerns; Stay updated on industry trends, travel advisories, and best practices for continuous program improvement. REQUIREMENTS Proven experience as a Travel and Fleet Manager; High school diploma or equivalent; Bachelor’s degree preferred; Knowledge of international travel regulations, customs, and currencies; Knowledge of T&E reporting and processing; Proficiency in MS Office and corporate travel management software; Excellent communication and negotiation skills; Well-organized and reliable; Analytical with a strong corporate approach; Customer-oriented mindset.
