About the position Based in Rome, Italy, and supervised by the Associate Officer, the Administrative Assistant will provide administrative, logistical, and operational support to research programs (this is a 50% part-time role). Responsibilities Support research staff in procurement requests and liaising with accounting for payments. Assist with hiring processes for research staff, interns, fellows, and consultants. Handle payment authorizations, travel arrangements, and expense claims. Organize logistics for meetings, seminars, and events. Prepare minutes of meetings as needed. Support research contracts and invoicing for small grants. Perform other administrative duties as required. Requirements Essential: Secondary school education plus office training or related courses. Degree in business administration, engineering, logistics, or related fields is desirable. Relevant work experience, preferably in an international organization. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook). Advanced English skills (written and spoken). Intermediate French and Spanish skills are a plus. Knowledge of office procedures, client service orientation, interpersonal skills, organization, problem-solving, and accuracy. Benefits This is a part-time (50%) position based in Rome, with a salary starting from Euro 39,370 per annum pro-rated, plus benefits such as insurance and retirement plans. The contract is for 2 years, renewable based on performance and funds.
