Description: We are seeking a highly skilled and proactive Executive Assistant to provide high-level support to multiple C-suite executives. The ideal candidate will be bilingual (English/Spanish), possess strong discretion in handling confidential information, and excel in a fast-paced, dynamic environment. This role requires exceptional organizational skills, multitasking abilities, and expertise in executive travel logistics, calendar management, and event coordination. Key Responsibilities: Executive Support: Provide direct assistance to multiple C-level executives, managing daily schedules, emails, and priorities. Calendar & Agenda Management: Organize and maintain complex executive calendars, ensuring seamless coordination of meetings, appointments, and client interactions. Travel Coordination: Plan and manage international and domestic travel, including flights, accommodations, ground transportation, and itineraries. Confidential Information Handling: Maintain strict discretion in managing sensitive business and personal information. Event & Meeting Planning: Organize and coordinate executive meetings, conferences, and events, ensuring all logistical details are handled efficiently. Administrative Efficiency: Leverage software tools such as Microsoft 365, and other enterprise platforms to optimize workflow and productivity. Problem-Solving & Multitasking: Proactively identify and resolve scheduling conflicts, logistical issues, and last-minute travel changes. Client & Stakeholder Management: Serve as a liaison between executives, clients, and internal teams, ensuring effective communication and follow-ups. Time Tracking & Reporting: Monitor executive time usage, prepare reports, and ensure efficient time allocation for high-priority tasks. Qualifications & Requirements: Bilingual: Fluency in English and Spanish is required. Software Proficiency: Strong experience with Microsoft 365 (Outlook, Teams, Excel, PowerPoint) Experience: Minimum of 5 years supporting C-level executives in a corporate environment. Travel & Logistics Expertise: Prior experience managing international travel and executive agendas. Strong Multitasking Skills: Ability to manage multiple priorities in a high-pressure environment. Event & Meeting Coordination: Proven ability to organize business meetings, conferences, and high-profile events. Proactive & Detail-Oriented: Highly organized with a strong sense of urgency and problem-solving mindset.
